Recording Copyright Information for a Stimulus

It is always necessary to record information on the rights to the material used in a stimulus, even if the material is public domain. The party obtaining the rights is typically the item bank owner, who is typically a client of CAI. The information must be recorded and reviewed in the Copyright lane of the View\Edit Stimulus page. This record does not affect any copyright notice that may exist in the stimulus content itself.

Each piece of material included in the stimulus requires its own copyright set. You may upload multiple files pertaining to a single copyright set.

  1. In the Copyright lane, click View\Edit Copyright button to open the View\Edit Copyright window. The window initially contains a single copyright set.

  2. Optional: Enter a name for the copyright set. This will often be the name of the passage.

  3. Optional: In the Contract Expiration Date field, select or enter the expiration date of the rights to the material. This field can be left blank if the material is public domain or internally generated. A stimulus cannot be used if a contract on any one of its copyright sets has expired.

  4. Optional: In the Cost of License field, enter the amount paid for rights to the material. If left blank, this field will be populated with N/A.

  5. Optional: In the Source of Text field, explain where the material originated. If left blank, this field will be populated with N/A.

  6. Optional: In the Attachments section, upload files that indicate how the rights are to be obtained; for example, a public domain notice, a Copyright Clearance Center license, or other information.

    Note that other copyright-related files, such as the source itself and any marked-up PDFs showing edits to the source material, must be uploaded to the Attachment files section of the View\Edit Stimulus page.

    1. Click Add File.

    2. Click Browse… and select a file from your computer.

    3. Repeat as needed and/or click Remove to remove uploaded files.

  7. Optional: To add an additional copyright set, click the + button on the left. A new set appears. Follow steps 26 and repeat as needed. You can view any of the copyright sets by clicking the desired tab on the left.

  8. Optional: To remove the currently selected set, click Remove This Set.

  9. Click Save, then click OK in the confirmation pop-up. The information is recorded. You can return and edit it by clicking View\Edit Copyright button again.

An expired contract date triggers an alert on the View\Edit Stimulus page. An alert also appears on the Home page.

The review process for the Copyright lane involves confirming that the party who is using the material has secured any necessary permissions. Depending on the review level, clicking the View\Edit Copyright button button may open a read-only window.
